Key Commitment: MailBee AI never sells your personal user account information or resume data to third-party data brokers. Our platform exists solely to help job seekers respectfully connect with hiring managers.

1. Overview & Scope

MailBee AI ("we", "our", or "the Platform") operates a professional contact discovery platform enabling candidates to identify and contact talent acquisition leaders, recruiters, and decision makers. This Privacy Policy describes how we handle:

  • User Account Information: Data you provide when registering, managing your subscription, or contacting support.
  • Outreach & Platform Activity: Records generated when you search, unlock contacts, or send emails through MailBee AI.
  • Recruiter Directory Data: Public professional contact records curated for the discovery directory.

2. Information We Collect Directly from Users

When you register, purchase credits, or use our services, we collect:

  • Registration Data: Full name, verified email address, contact phone number, and a securely salted password hash.
  • Credit & Subscription Records: Selected credit packages (Starter Bee, Pro Bee, Unlimited Hive), purchase timestamps, remaining credit balances, and transaction references. Payment card and UPI credentials are processed directly through authorized payment gateways and are never stored on our application servers.
  • Contact Reveal History: An immutable log of recruiter contact IDs you unlock using your credits, enabling you to re-access previously unlocked details without duplicate deductions.
  • Outreach Logs: When utilizing the integrated cold outreach module, we store recipient email address, subject line, message text, and sent timestamp to populate your dashboard history.
  • Customer Support Records: Inquiries, bug reports, and reference codes submitted through our support desk.

3. Recruiter Directory & Public Contact Intelligence

MailBee AI curates directory records of talent acquisition specialists and department leaders. This professional directory information is derived exclusively from publicly accessible corporate websites, professional directories, press announcements, and standardized business email patterns (e.g., firstname.lastname@company.com).

Server-Side Protection: Recruiter direct emails and phone numbers are stored behind server-side masking. Full contact details are never sent to unauthenticated visitors or users without an active subscription and available credit balance.

4. How Information Is Used

We process collected data exclusively for the following functional purposes:

  • To authenticate user sessions and secure account access.
  • To accurately deduct credits and manage subscription rollover balances.
  • To display your unlocked recruiter pipeline and sent message records.
  • To respond to customer support requests and troubleshoot technical issues.
  • To prevent abusive automated scraping, unauthorized credit manipulation, or bulk spam.

5. Data Security & Storage Architecture

We implement standard, verified security controls across the stack:

  • Password Hashing: Passwords are cryptographically transformed using native scrypt with a unique 16-byte cryptographically secure random salt per user. Passwords are never stored in plaintext.
  • Database Integrity: Application data is maintained in an ACID-compliant transactional database running in Write-Ahead Logging (WAL) mode to prevent partial writes or transaction corruption.
  • Authorization Enforcement: Credit validation and reveal operations are executed exclusively on the server side within isolated transactions.

6. Cookies & Session Storage

MailBee AI utilizes minimal browser storage (such as localStorage) strictly necessary to maintain your authenticated login session and local dashboard preferences. We do not deploy third-party advertising cookies, cross-site trackers, or behavioral profiling widgets.

7. User Rights & Data Deletion Requests

As an account holder, you maintain the following rights regarding your personal information:

  • Right to Access: You can review your account profile, transaction receipts, and unlocked contact list directly from your dashboard.
  • Right to Correction: You may update your account details or request corrections by reaching out to support.
  • Right to Account Erasure: You may request complete deletion of your user account, login credentials, and sent email records by emailing privacy@mailbee.ai. Requests are completed within 14 business days.

8. Recruiter Opt-Out & Directory Correction

We respect the privacy of HR professionals and decision makers listed in our directory. Any recruiter or employee who prefers not to have their business contact details indexed in our candidate discovery tool can request removal at any time:

  • Submit a removal request with your business email to privacy@mailbee.ai.
  • Verified removal requests are honored and permanently expunged from the index within 48 hours.

9. Policy Updates & Contact Information

We may update this Privacy Policy periodically to reflect enhancements in product features or legal regulations. When material changes are made, we will update the version and effective date at the top of this document.
